Match Tax Codes

In the Match Tax Codes screen, you will be expected to match all Sales Tax Codes in ESC with your Sales Taxes in QuickBooks. Begin by clicking the Next button, and the wizard will scan both programs. It will then produce a list of Sales Tax Codes that are in ESC, but could not be found in QuickBooks. You won't be able to continue until all tax codes are properly matched between the two programs.

QuickBooks - US Version
If you are using a United States version of QuickBooks, you will be able to highlight each individual tax code and click on "Add Selected Tax Code to QuickBooks". Once that Tax Code has been added to QuickBooks, it will disappear from the list. Once all Tax Codes have been cleared, you will be able to continue to the next screen.

QuickBooks - Canadian Version
If you are using a Canadian version of QuickBooks, you will need to add these Tax Codes to QuickBooks manually. To do this, open the Enter Tax Codes screens from ESC's Sales menu. Open the first code in the list. Write down the Code, Name, Rate and Vendor for each line item. Perform the same tax for each Tax Code in ESC.

Next, open QuickBooks and navigate to the Item List under the Items menu. For each line item within a code you wrote down, you will need to create a Sales Tax Item with the same settings.  You will then create a Sales Tax Group in QuickBooks for every Sales Tax Code in ESC and add the Sales Tax Items for each code to the corresponding Group. 

Once you have finished adding Sales Tax Items to QuickBooks, switch back to the QuickBooks Connection Wizard. You will now be able to highlight each individual code in the list of Tax Codes and select the "Add Selected Code to QuickBooks" option below the list. Once all codes have been cleared from the screen, click Next.

The Tax Codes transferred from ESC to QuickBooks will appear as two items in the QuickBooks Item List. Each line item under an ESC Tax Code will appear as an individual Sales Tax Item in QuickBooks. The Tax Code itself will become a Sales Tax Group in QuickBooks and will encompass all of the Sales Tax Items associated with that code in ESC.

If there are any Sales Taxes entered into QuickBooks that are not in ESC, you will be asked to import them. You will have two options at the bottom of this column to import one at a time or all tax codes at once.

If there are no other tax codes to be matched, you should receive a message at that point telling you "All tax codes in ESC are in QuickBooks." Click Next to move on.
