How To Generate Customer Statements

It would be great if all of your customer's paid their bills on time, every time.  But let's face it, this is the real world and that just doesn't happen.  So before sending out their monthly statement, you'll have the ability to add a finance charge to their account.  Hopefully, that will be the nudge they need to remember to make their payment.  If you have not yet setup your Receivables defaults, you'll want to do that first: How To Setup Finance Charges in ESC.

  1. Start by going to Receivables → Print/Email Statements.
  2. In the Statement Message field, you may enter any message you want to have appear on the statement.  This message will be printed under the line items and finance charges in the statement body.




  3. The Statement Period will default to the current month, but if you need to print statements or apply charges for a prior month, that is also possible.  
  4. The Select Aging field allows you to generate statements for only those customers that are overdue by 30 days, 60 days or 90 days.  By leaving it at All, you'll be generating statements for all overdue accounts.
  5. If you only wish to generate a statement for a certain customer or range of customers, you may select those customers in the Customer Name fields.  To generate statements for all customers, leave these fields blank.
  6. Click Next.
  7. A list of all customers that will be receiving statements should now appear on the screen.  To exclude any customers from receiving a statement, uncheck the box to the left of their name.  You may also wish to review their current amount due, the finance charges being applied (if any) and whether their statement will be printed or emailed.  



    Note: You may only change a statement from Print to Email if the customer is displaying an email address.  Only email addresses entered into the customer's record with an Email Task of "All" or "Billing" will be set to the Email option automatically.  
  8. If you are satisfied with what you see, click the Process button.  

If at any time, you wish to go back and review a customer's statement, you may do so by going to Receivables → Display Statements.  Select the customer in the Customer field at the top of the screen to view their statement.
